Our client is a well known Catholic College committed to creating an authentic, challenging, collaborative and safe learning environment.
The successful candidate will assist the Director of Business Operations. Responsibilities will include:
- Work collaboratively with the Executive Assistant to provide a high standard of administrative support to the Principal and Deputy Principal Staff
- Maintain confidentiality of various aspects of College operations
- Create a welcoming atmosphere, receive and greet visitors as required
- In collaboration with the Executive Assistant receive and action incoming correspondence, phone calls and enquiries in a timely manner
- Prepare Annual School Report
- Process all administration forms relating to students and staff
- Manage publications/subscriptions/renewals and organise new subscriptions as directed by the Principal
- Maintain register of staff attendance at professional learning sessions
- File general office documentation and prepare for archiving when required
- Event Co-ordination
- Support the Deputy Principal Staff in Recruitment, selection and onboarding and exiting of staff (employees and volunteers)
- Assist the Director of Business Operations in organising and prioritising daily tasks to ensure smooth running of day-to-day operational activities;
- Provide personal assistance and administrative support to the Director of Business Operations including arranging meetings, conferences, events, handling correspondence, reports, screening calls and emails, filing and photocopying
- Prepare and distribute agendas and minutes of formal meetings as well as attend and take minutes
- Maintain and update databases such as risk register
- Compliance Support: manage record keeping of Compliance relating to Student Health and Wellbeing including but not limited to:
o Child Safety
o Asthma and Anaphylaxis
o First Aid (Staff) - Assist in preparing and distributing communications to staff, parents, and external stakeholders
- Provide a professional and courteous point of contact for internal and external inquiries
To secure one of these roles you will require the following experience, skills and personal attributes:
- High school diploma or equivalent
- Experience in an administrative role
- Discretion and confidentiality in dealing with sensitive information
Ability to work independently and as part of a team - Well developed communication skills, both verbal and written
- The ability to multitask and prioritise effectively
- Proficiency in using office productivity software (e.g., Microsoft Office Suite, Teams, etc.)
- Detail-orientated with a high level of accuracy in handling data and documentation
- Flexible and able to adapt to changes in the workplace
- Have a positive work attitude
- Demonstrate a willingness to learn
