ADMINISTRATIVE SUPPORT OFFICER

KEY RESPONSBILITIES
The Administrative Support officer provides administrative support for the State office, portfolios, directors, industry and specialist teams to ensure that the office works effectively and efficiently.
Administrative Support Officers undertake core administrative work and will be a detail-oriented team player with great service delivery skills.
DUTIES
The duties of this position are as follows:
- Reception duties include meet and greet visitors; receive and distribute parcels; incoming and outgoing mail, phone calls from members and the public and monitoring general emails.
- Support staff of the state office by completing photocopying tasks, scanning, data entry, typing, formatting, scanning, collating of documents including spread sheets and word processing
- Coordinate events, venues, catering and travel forms.
- Manage work releases for Union meetings and training days.
- Support the other States administrative roles when large volumes of admin and office support requests are received.
- Coordinate and maintain stock levels and ordering of office and kitchen supplies.
- Attend to other miscellaneous matters including office, building, IT and phones.
- Process Right of Entry and WH&S Permits.
- Process Blue Card Permits.
- Other duties as requested.
- Manage employee and visitor swipe card system.
- Membership support including updating of records using Unionware.
- Other duties as requested.
TRAVEL
- Book domestic travel, accommodation and hire cars in line with UWU approval process.
- Register travel requests in line with SOP.
- Distribute travel itinerary to staff.
- Forward staff travel expenses to accounts for payment.
- Maintain cabcharge usage and spread sheet.
- Distribute virtual credit cards

The skills required for this position are:
- Advanced telephone etiquette and face to face service.
- Positive work attitude and time management.
- Excellent communication, customer service and initiative skills.
- Advanced Microsoft Office, Word and Excel.
- Excellent verbal and written communication skills.
- Accuracy and attention to detail.
- A commitment to the United Workers Union’s values.
RENUMERATION
An attractive remuneration package will be offered to the successful applicant, which will include:
- 4 weeks annual leave plus 25% leave loading;
- An RDO per month
- 16% Superannuation
