Administration Manager

Lead and build a team of highly skilled administration professionals to deliver outstanding customer service and ensure effective administration practices. Permanent, full-time* role suited for an outstanding candidate to lead our busy Administration functions across Northpark and La Trobe Private Hospitals in the Northern Suburbs of Melbourne. (*Part-time may be considered)

Are you looking for a rewarding career and the opportunity to lead a team of highly skilled administration professionals to deliver exceptional customer service across our hospitals? As the Administration Manager you will lead a front office team consisting of Reception, Short stay, Billings and Bookings staff as well as Ward Clerks, amounting to a team of approximately 30 people. You will provide outstanding support to the patient services, our doctors and reception teams across our two hospitals to ensure delivery of exceptional customer service for patients, staff and doctors.

As the Administration Manager, your responsibilities will include:

·         Leading the day to day efficient hospital administration workflow processes in line with best practices in patient booking, admission, discharge, billing and collections, meeting KPI and financial targets.

·         Creating and maintaining a high-performing Administration Department that delivers results and ensures success by visibly leading a values and safety-led workplace culture. Provide coaching, development and performance management. Deliver the daily management of workforce planning.

·         Supporting VMO partners by building and maintaining positive working relationships ensuring that they adopt the hospital’s administration processes and ways of working.

·         Maximising efficiencies with management of resources, proactively identifying and implementing performance improvements that leverage data.

To be successful in your application, you will need to meet the requirements below:

·         3+ years' experience working within private health care with managerial responsibilities of a large team (multi-site management preferred)

·         TAFE/ Certificate - Diploma level qualification in Front-line Management, Business Management or related discipline (or working towards same)

·         Demonstrated people leadership and supervisory skills (Lead from the front)

·         Established planning and organizational skills; ability to implement process improvement

·         Knowledge of patient administration admission systems

·         Knowledge of health fund / DVA / third party / workers compensation contracts

·         Efficient and effective rostering (incl. 24/7)

·         Well-developed problem solving and conflict resolution skills

·         Self-directed and motivated with the ability to effectively plan and prioritise

·         Previous experience with WebPAS

·         Experience in managing/undertaking switchboard functions

·         Well-developed professional communication skills (written and spoken)

·         Working abilities with Microsoft 365 applications (Outlook, Word, Excel

·         Working with Children check

About us:

Northpark Private Hospital is undergoing a significant renovation and will provide 73 Mental Health beds, inclusive of Early Parenting and Baby sleep settling beds, to the local community.  In addition, we have recently celebrated the 30th anniversary of our Maternity Unit which has 12 Post Natal beds and 3 birthing suites, as well as operating a 20-bed Surgical inpatient ward and 4 Operating Theatres. Also onsite are the Plenty Road Consulting suites and our Level 1 suites located within the hospital itself.  Both have a mix of sessional and permanently leased suites - 31 in total.

Nearby LaTrobe Private, which is co-located with La Trobe University, has recently undergone a significant redevelopment and successfully opened its doors to our community on 5 February this year. La Trobe boasts 4 new Operating theatres, a 34 bed inpatient ward and a total of 23 Consulting Suites. Imaging and pathology are also onsite and a new Café is coming soon!
