This is a stand alone HR & Admin position in a small office of 15 people. You will be expected to act as a generalist and to cover office general administrations.
- Provide support to Managing Director in various aspects of human resources management functions including recruitment, compensation & benefits, training and development, employee relations and payroll administration.
- Develop, implement, review and recommend Company/HR policies, benefits and procedures to ensure the policies are effective, relevant and aligned to the company's goals and objectives & compliance with Australian government regulatory laws.
- Support implementation and maintain an effective performance appraisal system to recognize employee’s performance and contributions.
- Support in salary reviews, job grading and compensation benchmarking exercises.
- Review, enhancement and standardization of forms, letters, agreement, data entry and filing system related to human resources including creation and maintaining of employee Personal File.
- Administer of all work passes and dependent passes (application, renewal, cancellation, updates).
- Support for expatriates (VISA application, Medical Insurance, Bank Account, Tax Filing Number, income tax application and housing, etc)
- Manage employee group Insurance.
- Administration and Coordination for training and development activities.
- Responsible for mandatory surveys, statistics by our Singapore and Tokyo office, audit check and etc.
- Responsible for Payroll preparation and Ensure the payroll cycle and data submission deadline are met including liaison with third party on payroll processing matters and reports.
- Responsible on government statutory Payment and Claims.
- Support HR adhoc projects and Regional HR projects.
- Conduct safety briefings for staff and safety inspections of workplaces
- To ensure that Australia & New Zealand have the necessary infrastructure in place to uphold compliance with Policies and Rules of Conduct and to measure the effectiveness of Internal Control activities.
- Responsible for all corporate policies and practices, including, but not limited to Anti-
Corruption, Compliance, Data Protection, etc, except for HR related. - Corresponding for the Secretary agent. Preparation of directors’ resolutions and support filing process.
- To work closely with HR/Accounting and, Company Secretary on the maintenance of service agreements between Australia & New Zealand and Tokyo HQ and and other related parties.
- Management of Service Fees charged to internal and external group companies – Contract Review of all suppliers and subcontractors.
- Be the contact person for regulatory queries, legal, risk and audit work, maintain and update the compliance manual.
- Manage compliance monitoring activities and risk and compliance reviews of activities to ensure compliance with policies and procedures.
- Manage contracts and company equipment such as
Office Lease(including car parks), Corporate Credit Cards, Car Lease, IT vendors, Membership/Subscription(Golf, Newspaper, business membership like Chamber of Commerce, etc), PC/Mobile Phone/Printer, etc - Be the contact person with IT vendors/consultants to handle company’s ICT issues.
