About the opportunityWe have an exciting 12-month opportunity for a Administration Officer to play a key role in providing excellence in customer service and administration.
You will contribute by:- Provide a high standard of customer service to the general public and electrical industry with regards to Certificates of Electrical Safety by providing sound advice, resolving queries and providing technical support to ESVConnect system users.
- Provide advice to, and liaise with, internal stakeholders in relation to Certificate of Electrical Safety.
- Provide effective administration of online and paper Certificates of Electrical Safety by:
- ensuring a high level of data integrity and accuracy when entering information into databases and scanning certificates.
- ensuring appropriate stock levels and security of new paper Certificates of Electrical Safety and sending agent orders for certificates when required.
- liaising with the Finance team to ensure refunds of purchased certificates are processed effectively
- notifying the Manager, Audit COES of any defect notice and following up as required
- providing input into improved processes, guidelines and systems.
- Liaise with ESV Information Services to retrieve archived COES.
- Assist with the creation and maintenance of files using the Content manager document management system.
- Keep up to date with relevant legislation and technology in relation to Certificates of Electrical Safety and trends and requirements from the electrical industry.
To be successful, you'll have:
- Experience in general administrative work including sorting, filing and organisation
- Commitment to excellence in customer service and proven experience dealing effectively with a wide range of customers.
- Well-developed written and verbal communication skills
- Excellent interpersonal skills and the ability to negotiate with difficult customers and work cooperatively with internal and external stakeholders
- Proven ability to work effectively in a small team environment and provide assistance to others.
- Well-developed skills in prioritisation and time management.
- Ability to operate effectively with minimal supervision.
- Ability to apply and understand legislation on a day to day basis.
- Experience with Content Manager or other document management systems would be highly regarded.
