Details: CIT Science is looking for an exceptional office administrator to join our dynamic team, providing a range of duties in support of the work of the department. The role is highly diverse and would suit someone who is a quick learner and enjoys a challenge.
The department delivers a range of training in the areas of Forensic, Animal, Laboratory and Environmental Science. Department also manages commercial authentic learning environments in CIT Dog Day Care. Training is delivered through full time, part time and flexible study modes. We work collaboratively with industry and with other areas across the College of Health, Community and Science and CIT to create unique innovative learning opportunities for students.
Reporting to the head of department, the successful candidate will undertake a wide range of operational and administrative tasks to support the department, which include but not limited to the following duties:
Provide administrative support including:
- Answering telephone and counter enquiries.
- Creating student files and maintaining electronic file management systems including TRIM.
- Maintaining local information management systems, departmental e-mail inboxes, student enrolment systems and databases.
- Assisting with organising meetings and information sessions and recording minutes of meetings.
- Undertaking student compliance checks.
- Providing administrative support for the enrolment and LLN assessment processes.
- Maintaining and ordering stationery supplies and stores.
- Participate proactively as a team member and autonomously, to provide high level client service to both internal and external stakeholders to support and promote the department/college priorities.
- Attend to enquiries from staff, students, prospective students and community, and liaise with industry personnel.
- Exercise judgement to interpret guidelines and procedures to seek resolution of issues arising from routine enquiries and work tasks.
- Work with Microsoft Office Suite as well as CIT’s student management system, Banner, and learning management system (LMS), eLearn, and the electronic file management system, TRIM.
- Assist in preparing the department for Program Review and Improvement.
- Prepare correspondence on behalf of the Head of Department.
- Undertake appropriate administrative tasks and incidental duties as required by the Head of Department.

Eligibility/ Other Requirements: QUALIFICATIONS AND EXPERIENCE
DESIRABLE
- Experience in an administrative role in the Vocational Education and Training sector.
- Current driver’s licence.
- Eligible to obtain a Working with Vulnerable People Registration card.
