Who are St Pats?
St Patrick’s Community Support Centre (St Pat’s) is committed to working in partnership with other agencies to support individuals and families who are homeless or at risk of homelessness in obtaining stable accommodation, independence, and improved quality of life. We provide a range of services to support them on this journey, including emergency relief and meals, health and mental health services, drug and alcohol services, life skills training and a range of accommodation options.
About the Role
This position will report to the Support Services Manager who is responsible for leading a large team and managing multiple programs. You will assist in a high level administrative capacity with a focus on projects and report writing. The role will also include diary/meeting arrangements, minute taking, report formatting, organising and collation of program data, and general office management tasks.
Key Responsibilities will include:
- Providing generalised administrative support including compliance with legislation, funding and agency guidelines and organisation policy and procedures
- Collate and organise reporting schedules, data collation, preparation and formatting of reports
- Scheduling of meetings – including liaising with external and internal stakeholders
- Assistance with electronic and hardcopy filing in line with organisation policies, including archiving and record keeping
- Assistance with data entry including accuracy of data
- Collation of time sheets, leave applications and control sheets
- Collation of credit card receipts and reconciliation support
- Meeting creating agendas, minute taking and catering organisation
- Assisting with event organization, including staff wellbeing activities
- Assist with new staff program inductions
- Assist in gathering and sharing up to date resources, that help the programs succeed with their outcomes
What skills should YOU have?
- Well-developed communication and interpersonal skills including the ability to work and communicate effectively with service staff, service users, community agencies
- Excellent administration and data entry skills, including advanced skills in Office suite
- Demonstrated skills in report writing and other professional communications
- Ability to work under pressure, in a timely and responsive manner and with competing priorities
- Ability to establish effective working relationships with people from a wide range of socio-economic, multicultural, and linguistically diverse backgrounds
Essential Criteria
- Experience in a previous fast paced administrative role
- Strong computer skills in MS Office software and applications
- Demonstrated ability to complete tasks in a timely and accurate manner
- A general understanding of the community service sector, and an interest in helping people that are experiencing homelessness
- Previous knowledge of data collection programs and report formatting skills
- Excellent communication and interpersonal skillset
