The role:
As our new Administration Officer, you will primarily support our Principal Adviser in managing their diary and workflow. The role will report to the Principal Adviser and will be accountable for the following:
- Act as the first point of contact for clients including smooth daily operations.
- Diary management
- Support the end-to-end administration requirements of the client files in a fast-moving environment.
- Onboard new clients, including but not limited to preparation of engagement letters, data entry, liaising with external providers to collect information.
- Coordinate mail and weekly workflow allocations appropriately using investigative skills and apply client knowledge.
- Preparation of collations and invoices.
- Complete ad-hoc tasks and other duties, as required to support the paraplanning and client administration teams.
About You
You will have previous work experience in a customer service role, either in a call centre environment or in an administrative role. Experience working within the finance industry will be highly regarded but is not essential.
You will have excellent administration and written communication skills with excellent attention to detail and a passion for delivering work to a high standard. Your organisational and time management skills and your ability to manage competing and changing priorities will enable you to deliver your work to a high standard within our busy team environment.

We pride ourselves on the way we provide and deliver our advice, and outcomes we get for our clients. With a steady stream of client referrals we need to increase our capacity to better enable our client service team. With a modern, professional office with off street parking for staff in Keswick, we service clients throughout Australia. We’re a small, closeknit team that works hard but also has a great supportive and fun culture.
Time/hours
Flexible hours. Ideally 0.6 – 0.8FTE during school hours. 930 – 3. (5hrs plus 30 min break). i.e 3 days over 4, or 4 days over 5. With some capacity to work from home if required.
Renumeration
Banking and Finance award lvl 3-5 depending on experience.
