What's Involved?
- Establish and maintain efficient administrative processes within the designated area.
- Provide interpretation and guidance on procedural matters to both internal and external stakeholders.
- Coordinate meetings, events, and senior staff diaries. Manage the content, publishing, and distribution of reports and documentation.
- Conduct initial research and data gathering to support area activities. Provide administrative support for projects and other area-related tasks.
- Administer communications and correspondence, both internally and externally. Maintain shared repositories of information.
- Support internal events by coordinating logistics such as venues, catering, and promotional activities.
- Coordinate matters related to physical resources and maintenance. Arrange and coordinate travel arrangements for staff and visitors. Liaise with relevant stakeholders and university functional areas.
- Bring critical information and developments to the attention of management. Undertake other duties as required within the scope of responsibilities.
- Excellent time management and organisational skills.
- Advanced computer skills, particularly in the Microsoft suite.
- Attention to accuracy and detail. Effective oral and written communication with cross-cultural sensitivity.
- Problem-solving skills with discretion and knowledge. Ability to work well in a team environment.
- 0.6FTE position (3 days p/w) for 12 months
- Start asap as it will be backfilling a staff member taking parental leave from 22 May and we would like the opportunity for a period of handover
- Preferred days M-W
- Preference is for work to be undertaken on site. Flexible working arrangements (occasional WFH) will be considered but cannot be guaranteed and will depend on the needs of the business unit at the time
- Focus will primarily be on the needs of the faculty dean that this role is supporting, the incumbent will be part of a wider Faculty Office administrative support team. As such there will be occasions in which they’ll be expected to assist the larger group e.g. events/functions
- Previous experience in a higher education setting would be valuable but not essential.
