The role.
As Administration Support, you will play a crucial role in ensuring our programs are delivered seamlessly through supporting our team and managing administrative tasks and processes that help us function smoothly. This includes:
- School coordination support: manage school recruitment emails and signup processes, schedule calls, data entry/reporting, and organise resources and logistics with schools.
- Program delivery support: coordinate program partners, venue bookings, school logistics, media/communications (newsletters, press releases, social media), and assist in the preparation of learning experiences/programs.
- CIC Team Administration Support: schedule facilitators, manage onboarding, travel bookings and logistics coordination.
- Manage business systems and processes: research, design and manage CIC’s business systems, tools and processes to help CIC function smoothly.
- Support CIC Partnerships Teams: compile data/research for lead generation, build and maintain a database of potential contacts, tailor initial communications, liaise with leads, and support storytelling and marketing collateral production.
About YOU. We are looking for someone excited about helping build something bold and transformative. Being a small and agile team, we need to know that you can hit the ground running and have your bases covered in relation to the following capabilities.
- Exceptional communication skills and a service commitment. You excel in written and verbal communication and are super skilled at serving internal and external stakeholders.
- Tech-savviness. Your computing skills are sharp, with proficiency in MS Office and Google Suite, ensuring seamless and efficient operations.
- Systems knowledge. You possess a keen understanding of systems and processes, enabling you to optimise and streamline processes effectively.
- Meticulous doer with self-management prowess. You’re both detail and action oriented, and you get things done in a timely manner.
- Educational/School experience. It may be helpful if you understand school environments, as you’ve work in schools or with organisations that work with schools before.
Qualifications and experience
- At least 2 years of experience working in a fast-paced team in operational/customer support/administration roles.
- Certificate of Business Administration or equivalent professional experience. Not required to apply.
- Current Police Check and Working with Children Check.
Salary
- $65,000 (pro rata – 3-4 days per week) + superannuation. If you’re after a full-time job we’re happy to consider this.

Where we work. We work across Victoria and interstate. Our employees are based in different locations, and work arrangements are flexible. Our Melbourne-based team members have a membership to a co-working space in the CBD.
