An opportunity has become available within the Account Engineering team for an Administrative Assistant, based in Sydney. This is a 12-month contract, full-time position reporting to the Account Engineering Group Manager and providing administrative support to the entire Account Engineering Team. The ideal candidate will be experienced, diligent and self-directed, with strong attention to detail and focus on team and customer needs.
- Anticipates and prepares materials needed for quarterly reports.
- Prepare agendas, correspondence, appointments for both in-person and virtual meetings, calls, etc.
- Ensures actions from meetings are captured, tracked and completed.
- Composes correspondence, reports, newsletters, presentations, agendas for the team.
- Monthly tracking and recording of statistics for the engineering department.
- Handles a wide range of administrative details, usually of a confidential nature, on behalf of others; uses considerable judgment and initiative to resolve issues or actions to take in non-routine situations.
- Plans a Duty Manager roster and calendar on a weekly basis including updating the roster and sending out calendar invites.
- Assists in the development of the engineering business plan, and related event planning & functions.
- Schedules appointments; arranges travel schedule and reservations, supervises calendars, for the team.
- Expense Management for all team members (using Chrome River).
- Analyses complex information requests, prepares special or one-time reports, summaries, or replies to inquiries, selecting relevant information from number of sources.
- Providing back up administration support as required.
Preferred Knowledge, Experience and Skills:
- Education: High School diploma or equivalent; some tertiary education preferred.
- Experience: 5+ years of administrative experience supporting a work group or manager, including some executive or team assistant experience
- Excellent Excel, Word & Outlook skills
- Pro-active, can do demeanour
- Excellent attention to detail,
- Excellent written and verbal communication skills;
- Significant interpersonal skills;
- Ability to handle confidential information and material,
- Decisiveness & Judgement
