About the role
The Administrative Assistant provides confidential secretarial and administrative support to the Executive Director of Collections and Research, including administration related to finance, travel, and Human Resource processes.
About you
We are looking for a pro-active, methodical, and team-oriented individual who enjoys a challenge and wants to make a difference.
The successful applicant will be expected to:
- Provides administrative support to the Executive Director (ED) and senior managers of the Collections and Research division, including administration related to finance, travel and HR processes.
- Monitor and file the Executive Director’s email and mail and assist with prioritising action items; prepare responses to correspondence as directed.
- Arrange and maintain the schedule of diary appointments and meetings.
- Prepare meeting agenda and associated paperwork and take Minutes of meetings as required.
- Arrange travel and itineraries for the ED and division staff and monitor approval workflow as required.

Pool Recruitment
This Pool will be open for a period of 18 months from the day after the breach of standard claim period closes. Permanent, fixed term, full time and part time appointments may be offered as vacancies arise; however, an appointment is not guaranteed.
Applicants found suitable in this Pool, may be considered for subsequent, similar vacancies with the WA Museum and the Department of Local Government, Sport and Cultural Industries (DLGSC) for the duration of the Pool.
