Position Summary:
As an Administrative Assistant/Operations Manager, you will play a dual role in supporting ARIA’s daily administrative tasks, supporting the CEO and managing operational activities at ARIA HQ. This position requires a highly organized and efficient professional with good people skills who can handle a variety of responsibilities to ensure smooth operations in a fast-paced environment.

Key Responsibilities:
- Administrative / Executive Assistant:
- Manage and maintain executives’ schedules, appointments, and travel arrangements.
- Arrange and coordinate meetings and events.
- Prepare and edit correspondence, communications, presentations, and other documents.
- File and retrieve documents and reference materials.
- Receive and interact with incoming visitors.
- Coordinate office and people logistics.
- Liaise with internal staff at all levels.
- Coordinate project-based work.
- Operations Management:
- Reconcile invoices and transactions (basic bookkeeping). Oversee and coordinate office administrative procedures and review, evaluate and implement new procedures.
- Establish work priorities, delegate work to office support staff, and ensure deadlines are met and procedures are followed.
- Administer and coordinate office financial and budget activities, and increase efficiency.
- Analyze and monitor internal processes.
- Implement procedural and policy changes to improve operational efficiency.
- Prepare operational reports and schedules to ensure efficiency.
- Conduct procurement activities as needed.
- Maintain the asset register and track what is in possession.
Idea Candidate would have:
- Bachelor in Business, Management or Accounting
- Strong people skills, as well a positive and mature outlook
- Proven experience as an Administrative Assistant, Office Manager, or Operations Manager
- Knowledge of office administrator responsibilities, systems, and procedures
- Great comfort in working with online systems, and learning and adapting such systems to most effectively facilitate fulfillment of your responsibilities
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- Great comfort working with a highly international and culturally diverse, hybrid in-office/remote team and working with people who are blind or have low vision (must like guide dogs)
