About the opportunity
HSRAANZ is a member based not for profit association, dedicated to the promotion of health services research in policy and practice. The collective voice of Australian and New Zealand health services research, HSRAANZ connects researchers with health service leaders, managers and clinicians to drive improvement and innovation in health and health care. The Association is governed by an active Executive Committee, who meet monthly.
Since its inception in 2001, HSRAANZ has been the collective voice for Australian and New Zealand health services research with aims to:
- Convene and connect producers and users of health services research in Australia and New Zealand and build links internationally.
- Support evidence-based policy and practice in the health system, helping to mobilise health services research, build capacity and make an impact.
- Influence policy leaders and funders to improve the profile and landscape of health services research, enabling it to thrive and develop.
The Administration Officer plays a crucial role in supporting the Health Services Research Association of Australia and New Zealand. They work closely with the Executive Officer and Executive Committee to ensure smooth operations and good corporate governance. Their responsibilities include providing administrative, membership, financial, and IT support. Additionally, they assist the Executive Officer with their duties as needed. The Administration Officer's contributions are essential in maintaining the association's activities and ensuring its success.
Your key responsibilities will be to:
- work closely with the Executive Officer and Executive Committee to provide high quality and responsive support
- prepare and disseminate communications with stakeholders through a wide range of media, including the website, electronic newsletters and social media.
- oversee payment of accounts and maintain accurate financial records in collaboration with the accountant
- process memberships and maintain the membership database, including proactive identification of new members. Engage with members, both organisations and individuals, ensure queries are responded to in a timely manner, and ideas or concerns are referred to the Executive Officer and/or Executive Committee
- assist with organisation of meetings, seminars and conferences for a wide range of purposes, ensuring the delivery of large meetings is coordinated efficiently with the external events secretariat, particularly the biennial research conference
- ensure good governance and compliance with the NSW Associations Incorporation Act 2009 and Associations Incorporation Regulation 2022, particularly in relation to keeping official records, the holding of Annual General Meetings and Executive Committee elections, and financial/annual reporting.
About you
- proven experience as an Administration Officer or similar role with experience in financial record keeping, database and membership management, website management, use of social media, and supporting the running of meetings and events
- demonstrated ability to use WordPress content management system, Mailchimp (or other) communication/marketing platform, Xero accounting package, the Microsoft suite, and a range of social media platforms
- demonstrated experience working in a membership organisation or professional association/body, or familiarity with the application of incorporated associated legislation
- excellent interpersonal, verbal and written communication skills, including the ability to interact with Executive Committee, members and stakeholders, and draft written content for a wide variety of audiences
- high level of self-motivation, the ability to work unsupervised, use judgement and discretion in making decisions, and know when to seek advice or more senior involvement
- knowledge and experience, or interest, in the health research system, including health services research and evaluation.
