As Retail Property Administrator, you'll be responsible for supporting the Centre Manager in all aspects of administration at a sub-regional sized shopping centre, with a commitment to providing hands-on coordination, forming long-standing relationships and delivering the best results in line with the company's high standards and reputation.
We are looking for a candidate with strong administration and financial administration experience (AP/AR) as well as an outgoing personality who is looking to further their career within the Retail Property industry. While existing property admin experience is desired, it is not essential.
The role is based in Melbourne's Northern Suburbs and is offering a total remuneration package of up to $80k Incl. Super.
Key Duties & Responsibilities
- Assist in maintaining and updating tenancy schedules and ensuring critical dates are captured in Cirrus8.
- Ensure tenant insurances, bank guarantees/securities and client' and property information is up to date and accurate in all systems.
- Facilitate the administration requirements to set up and terminate leases, new managements; sundry charges; reconciliations
- Be proficient in orderly leasing administration and financial management processes and procedures ensuring data in the systems is of highest quality and consistency across all properties
- Preparation and typing of correspondence including memos, monthly minutes and ad-hoc letters
- Respond to tenant, client, supplier and internal queries in a timely, professional and accurate manner
- Work closely with the Centre Manager on compliance and have a comprehensive understanding of policies and procedures
- Be proficient in the use of relevant systems and assist our team members to better understand and use these.
- Maintain registers to ensure accuracy. Registers include: Key Register, Insurance, bank guarantees, Security deposits
Required Experience
- Exceptional organisation and time management skills
- Exposure of the Cirrus8
- Willingness to work beyond core tasks as necessary to assist with any overflow from colleagues as appropriate
- Experience in property administration, including a thorough understanding of common retail leasing practices, legislation, procedures and terminology
- Current and valid Certificate of Registration or Agent’s Representative Certificate
