This State Department provides legal services to multiple departments of the Queensland Government and is searching for an AO2 Legal Secretary to join their diverse team.
Your new role
As an AO2 Legal Secretary in the State Department, you will be responsible for some of the following:
- Accurate transcription of digital dictation, word processing and typing;
- Diary management, organising meetings/conferences including preparation, distribution of agendas, minutes and other materials;
- Collate and assemble briefs and ministerial correspondence;
- Preparation of legal and title office documents and the use of precedents in Affinity (legal practice management system);
- Attend to court filing including collection of documents, lodging, legal and property and other on-line searches;
- Maintain filing, records bring-up and retrieval systems including monitoring and follow-up of all correspondence using appropriate data base systems;
- Maintain and monitor legal staff appointment schedule, court diary and bring ups and manage incoming calls and visitors;
- Assist the team to meet financial deadlines and/or commitments e.g. billing and time recording, opening, closing and archival of legal files;
- Ensure compliance with procedures for payment of legal expenses and counsel fees;
- Information management i.e. Affinity (legal practice management system), Client Information Management System (case management system), Microsoft Office programs etc.
- Assist with mail, arrange couriers and the accurate maintenance of operational registers;
- Coordinate travel arrangements and accommodation;
- Ensure services are completed in a timely and professional manner;
- Liaise and interact in a professional manner on a wide range of issues;
- Undertake other duties as required relating to the requirements of the operational area.
This role will be fast paced, so multitasking would be ideal with knowledge in LEAP or Affinity. It would also be ideal to have prior industry knowledge within the law sector.
