ATLAS Recruitment are working on behalf of our client a leading construction company located in the CBD. With a fantastic opening for an office all-rounder to support the wider team whilst reporting into the Managing Director.About the Role:
Administration
- Be the “Face of the company” - welcome guests on arrival and delivering them to the respective area/person.
- Answer and direct phone and email communications as necessary.
- Ordering of office supplies as required.
- Support the coordination of state related company events and functions.
- Maintain client details, leads, and opportunities in CRM system.
- Complete data entry and collate information for the purpose of updating the database.
Tender Preparation
- Assist in the tender process and submission as directed, including project set-up in Project Management System, and following internal checklists to ensure all steps are completed in accordance with internal Policies & Procedures
- Enter Request for Tender RFT) into applicable systems against the lead and create project number.
- Enter records of all submissions are saved in correct job files & in line with internal Policies & Procedures.
- Assist in putting together Tender Presentations using Power Point & InDesign.
- When tenders arrive, assess the type of tender, client, and closing date of tender to prioritise workloads.
- Review tenders to ensure all tender documents are received and are corrected.
- Submit all tenders and applicable submissions by the deadline always.
- Assist the team by coordinating all items as required for tender submissions.
- Ensure all programmes, schedules and applicable items have been collected from team members to meet tender criteria.
- Schedule and chair internal tender meetings to ensure a comprehensive understanding of tender process, tender requirements, timelines and who will be provided with information for the tender submission.
- Complete final tender schedules.
- Collaborate with team responsible for the submission to review and approve prior to submission.
- Incorporate addendums into tender submissions
Required Skills & Experience
- Three years’ experience within office administration/customer service environment.
- Ability to plan workloads with limited supervision, set priorities and meet deadlines
- Demonstrated skills and experience in complex software
- Demonstrated experience in customer service
- Demonstrated effective interpersonal and communication skills relevant to duties
- Proven administration and project support skills
- System proficiency in Adobe InDesgin, Buildlogic, Procore, Hubspot
- Experience working in the construction industry
