About the role
We currently have a fantastic, permanent full-time opportunity for an administration all-rounder with a confident, positive attitude who thrives in a fast-paced environment. We’re looking for someone who exceeds in managing multiple priorities whilst maintaining a professional and pleasant demeanour.
Key Responsibilities:
- Be the first point of contact for all internal and external clients for office administration activities.
- Create and maintain Service reports.
- Spare part inventory processing for the branch.
- Collate and upload documents into Project Management SF folders for completed large system installs.
- Close Work Orders with parts, asset swap as required, process paperwork as needed and generate invoices as completed by engineers.
- Stocktake assistance.
- Book freight for local movements - Ultrasound Demos, Ultrasound & large system installs, de-installs, service stock to customer sites.
- Event co-ordination - organise catering for meetings, training or other events.
- Organise branch meetings including catering, taking minutes, follow up.
- Work closely with the NSW Senior Branch Administrator to ensure reciprocal coverage for Branch operations in the case of leave or other absences.
- Plan and raise orders for necessary stationery and office essentials.
- Ensure office-related invoices are tracked and raise purchase orders and vouchers in related systems.
- Provide EA support to the Managing Director.
- Ad-hoc office administration tasks as required from time to time.
Our ideal candidate will possess:
- Previous office administration experience working within a technical environment or Medical Industry would be highly regarded.
- Excellent proficiency in Microsoft Dynamics 365/Nav or ERP equivalent.
- Excellent proficiency in Salesforce or CRM equivalent.
- Ability to multi-task and manage competing priorities.
- Excellent written & verbal communication skills and eye for detail
- Good interpersonal skills with an ability to build effective working relationships with colleagues and customers.
- Resilience to work in a fast-paced environment.
- Be able to work autonomously with minimal supervision.
- Willingness to learn and a can-do attitude.
- Driver’s licence.
