Financial and Administrative Services sits within the Corporate and Electorate Services division of the Parliamentary Service and provides a centralised point for the processing of all corporate financial information for the Legislative Assembly and Parliamentary Service.
About the role
The Business Support Coordinator (Travel) is a key role within Financial and Administrative Services and is responsible for co-ordinating travel arrangements for Members of the Legislative Assembly and Officers of the Parliamentary Service, as well as providing assistance in delivering remuneration services to Members of Parliament. The Business Support Coordinator (Travel) also maintains strong relationships with key stakeholders, including our contracted travel providers.
The Business Support Coordinator (Travel) reports to the Team Leader, Members Services within Financial and Administrative Services. They work closely with other staff within the Financial and Administrative Services and the wider Parliamentary Service. The Business Support Coordinator (Travel) is expected to work independently and co-operatively in a team environment, whilst demonstrating initiative and problem-solving skills.
The Business Support Coordinator (Travel) performs the following duties and responsibilities:
- Provide advice and assistance to Members, Parliamentary Service staff and other stakeholders regarding the administrative requirements of the Members' Remuneration Handbook and the Parliamentary Service Staff Travel Policy.
- Coordinate official travel requirements in accordance with the Members' Remuneration Handbook and the Parliamentary Service Staff Travel Policy. Includes assessment of travel entitlement claims and processing travel related invoices.
- Analyse complex data and prepare a range of reports including annual travel reports in accordance with the Members' Remuneration Handbook.
- Develop and deliver training and educational support to stakeholders.
- Administration duties such as: travel software administration, accurate record keeping and ensuring reference materials such as procedures, guidelines and travel directives are current.
- Perform other general administrative duties as directed.
To be successful in this role, you will have the following skills and knowledge:
- Experience in co-ordinating complex corporate travel arrangements in accordance with relevant policies and guidelines.
- Experience at maintaining high standards of administration in relation to recordkeeping, procedures and travel accounts (including related software).
- Ability to analyse financial data using tools such as Microsoft Excel or similar software.
- Highly developed oral and written communication skills, including the ability to write concise correspondences and reports, and liaise effectively with a diverse range of stakeholders.
- Ability to work independently and co-operatively in a team environment whilst demonstrating initiative
