We are seeking an experienced motivated and organized Buyers Admin Assistant and Shipping Coordinator to support our dynamic team in a fast-paced Homewares wholesale company based in Melbourne Victoria .
You will play a pivotal part in assisting buyers, coordinating shipping processes, and ensuring smooth operations for the procurement and distribution of our homewares products. Responsibilities:
Buyers Administrative Assistant:
- Purchase Order Management:
- Assist buyers in generating, organizing, and maintaining purchase orders accurately and efficiently.
- Collaborate with various departments to ensure purchase orders align with stock requirements and availability.
- Inventory Monitoring:
- Maintain accurate and up-to-date records of inventory levels, replenishment needs, and stock availability.
- Coordinate with the warehouse team to ensure timely and accurate stock intake.
- Supplier Communication:
- Liaise with suppliers regarding order confirmations, lead times, and shipment tracking.
- Assist in managing supplier relationships and communications to ensure smooth procurement processes.
- Documentation and Filing:
- Organize and maintain a systematic filing system for purchase orders, invoices, and other relevant documents.
- Prepare and process necessary paperwork for smooth customs clearance and documentation.
- Data Analysis and Reporting:
- Assist in generating reports related to purchase trends, stock levels, and product performance.
- Analyze data to identify patterns and provide insights to support informed decision-making.
Shipping Coordinator:
- Logistics Coordination:
- Arrange and coordinate domestic and international shipping activities for incoming and outgoing products.
- Communicate with freight forwarders, carriers, and logistics providers to ensure timely and cost-effective shipping solutions.
- Customs Compliance:
- Ensure compliance with all customs regulations and requirements for both imports and exports.
- Prepare and review shipping documentation, including invoices, packing lists, and customs declarations.
- Delivery Tracking and Monitoring:
- Track and monitor deliveries to ensure on-time arrival and address any shipping discrepancies or delays promptly.
- Communicate delivery schedules and updates to relevant teams within the organization.
- Freight Cost Management:
- Work closely with the finance team to ensure accurate tracking and reporting of shipping costs and charges.
- Identify opportunities for cost savings and process improvements in shipping and logistics operations.
Qualifications:
- Bachelor's degree or equivalent relevant experience.
- Previous experience in a similar role within the homewares or related industry is advantageous.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in relevant software and tools for order management and shipping coordination.
- Ability to multitask and prioritize effectively in a fast-paced environment.
- Familiarity with Australian and international shipping regulations and procedures is a plus.
