Role and Responsibilities: As the Receptionist/Administration Officer, you will play a pivotal role in ensuring the smooth and efficient operation of our clinic. Your responsibilities will include:
- Greeting and assisting clients in a warm and professional manner.
- Making strong connections with clients to ensure their experience is personable.
- Managing appointment scheduling and ensuring optimal utilisation of clinic resources.
- Handling phone calls, emails, and inquiries, providing accurate information to clients.
- Managing patient records, maintaining confidentiality, and ensuring accurate data entry.
- Coordinating with medical staff to ensure a seamless patient experience.
- Assisting with billing and payment processing, and maintaining financial records.
- Collaborating with marketing and social media teams to promote clinic services.
- Participating in team meetings and contributing to process improvement initiatives.
- Maintaining a clean and organised reception area.
- Upholding clinic policies, procedures, and quality standards.
- Demonstrating a genuine commitment to exceptional customer service.
Qualifications:
- Previous experience in a similar administrative role, preferably in a medical or cosmetic setting.
- Excellent organisational skills with a strong attention to detail.
- Exceptional interpersonal and communication skills.
- Proficiency in using office software, including Microsoft Office Suite.
- Ability to handle confidential information with discretion.
- Strong multitasking abilities and the capacity to work effectively under pressure.
