As Conference and Events Coordinator, you will be responsible for coordinating events in our newly built 400-seat Conference and Functions Centre- 59 Cameron Ave Conferences and Events
The Conference and Events Coordinator is responsible for the successful coordination and planning of conferences and special events, including fielding initial enquiries, and client (internal and external) liaison whilst delivering the highest level of customer service. A busy year-round venue hosting a wide range of corporate and social conferences and Events, you will be involved in the process from the initial quote, through to coordinating the event. You will have a passion for the hospitality and Events industry and be hands-on throughout each event from beginning to end, ensuring we exceed client expectations.
This role reports to the Sales and Marketing Manager and will assist in converting all enquiries and deliver a sleek, stylish and accurate product. This role will ensure all conferences and Events are delivered to the client's expectations, with impeccable attention to detail.
Your ability to maintain strong relationships with the team including all hotel departments and work collaboratively with them to troubleshoot will make you stand out from the rest, along with your passion for delivering a high-end product and exceptional service.
Key Responsibilities
- Liaising with clients on end-to-end schedules
- Maintaining the conference diary and client database
- Preparation and follow-up of conference proposals in conjunction with the Sales Manager
- Adhere to billing procedures at all times and liaise with the finance department where required
- Conduct client site inspections
- Assist in hands-on function set up and pack down from moving tables and chairs to event styling
- Ensuring all aspects of the function are running smoothly whilst they are in progress
- Assist the Sales Manager in obtaining client feedback, during the event and post-event follow up
- Attend weekly meetings with the Sales Manager and catering team as required
- Ensure all Conference and event areas are maintained as per WHS, cleanliness, sanitation and hygiene
- Train and support operational staff
- Ensure adherence to laws and policies
What you’ll need to succeed
- Experience in Conference and event sales with an operational background in food and beverage is desired
- Hands-on approach: A can-do attitude and willingness to get involved at all levels and foster team spirit
- Excellent written and verbal communication skills
- Passion for hospitality service, with an eye for detail towards an unrivalled customer service experience
- Strategic thinking skills and the ability to work to deadlines whilst staying calm under pressure
- Excellent time management and administration skills
- Impeccable attention to detail and multitasking- every day is different
- Working knowledge of Opera and Ivvy systems is highly desirable
- Flexibility to work evenings, weekends and public holidays as required
- Qualification in Business Administration/Hospitality/Sales or Marketing or obtaining one, would be an advantage.
