WORKING WITH THE SHIRE

The Shire of Exmouth is seeking a dedicated and driven Coordinator Contracts to join our team on a full-time basis.

Strategically important for tourism, defence, and oil & gas investments, the North West Cape attracts a large number of visitors every year. During the cooler winter months from April to October, the resident population of 3,085 people triples as tourists flock to Exmouth. The tourism industry in Exmouth is a significant contributor to the local economy, contributing over $110M and generating 1,053 direct and indirect jobs for the region annually.

THE ROLE

Reporting to the Manager Finance, the Coordinator Contracts is responsible for the coordination and management of contracts critical to the efficient operation of the Shire, with responsibility for orchestrating the tendering process administration, evaluating tender submissions, and conducting negotiations for procurements of low to medium risk. This role also manages the Shire’s leasing portfolio.

RESPONSIBILITIES

The Environmental Health Technician will also be accountable for the following activities:

  • Oversee the entire lifecycle of contracts, from procurement to completion including, monitoring contract performance and compliance.
  • Coordinate tendering processes, including preparation of tender documentation, evaluation of bids, and contract award recommendations to deliver defensible and compliance value for money outcomes.
  • Engage in negotiations with contractors and suppliers to achieve favourable terms and conditions for the Shire.
  • Assist in budget preparation related to contracts and monitor expenditure to ensure alignment within plans.
  • Stay updated on industry best practices and recommend process improvements for contract management efficiency.
  • Administer the Shire’s commercial and community leasing and MoU portfolio, including but not limited to liaising with lessees regarding condition breaches and negotiating new lease/licence agreements.
  • Implement and maintain controls through which compliance with lease agreements are monitored and reported, as well as through which lease agreement reviews are conducted and implemented.
QUALIFICATIONS AND SKILLS

To be successful in this role you will have a diploma in Business Management, Contract Law, Procurement or demonstrated experience within similar roles. You will possess a good understanding of contract law and procurement principles, as well as excellent negotiation and communication skills. You will also be able to demonstrate sound analytical and investigative skills, including the ability to research and evaluate complex issues in relation to sale and procurement matters, identify relevant outcomes, and provide recommendations and advice. This will be a busy role, and you will need
the ability to manage multiple contracts simultaneously and prioritise tasks effectively while maintaining attention to detail.
