What we do
PCLS is a not-for-profit, government funded community organisation that provides a range of free services which include:
- legal advice
- financial counselling
- tenancy advocacy, family violence, redress advocacy and support services
- migration settlement and transition services.
Position duties and responsibilities
Reporting to the Corporate Services Manager, the Team Leader plays a critical role in fostering teamwork, achieving organisational objectives, and ensuring the efficient operation of the Corporate Services Team. Adaptability, leadership, and strong communication skills are essential for success in this position. In this position you will:
- Administrative Operations: Oversee the day-to-day operations of the Corporate Services Team, ensuring the efficient provision of administrative support services such as fleet coordination, travel coordination, and facilities management across PCLS locations. Coordinate resources, equipment, and suppliers, to support the team’s operations, in consultation with the line manager.
- Bookkeeping, Financial Data Entry and Processing: Assist with Accounts Payable, Accounts Receivable, Bank Reconciliation, and Payroll functions including general ledger maintenance and processing journals. Ensure accuracy in recording financial transactions. Track and categorise expenses and revenues. Process payroll, invoices, expense reports, and other financial documents. Verify and reconcile financial transactions. Assist with preparing and reviewing financial statements and reports. Credit card management and reconciliation.
- Continuous Improvement: Collaborate with the line manager, to maintain a high-quality standard by reviewing work outputs and addressing errors or issues promptly. Implement quality control processes and best practices. Develop and implement continuous improvement plans.
- Project Coordination: Assist with coordination of special projects and initiatives related to Corporate Services, such as, facility upgrades, and process improvements. Develop project plans, set timelines and milestones, allocate resources, and monitor progress to ensure successful and timely completion of projects.
- Coordinate and Track Tasks: Assign tasks and responsibilities to team members based on the requirements of the job, skill, and expertise. Track and analyse key performance indicators (KPIs) to assess team and individual performance. Manage workloads by ensuring they are evenly distributed, and deadlines are met.
- Performance Management: Enhance team performance and development and set clear performance expectations, providing regular feedback and evaluation. Identify training needs and provide or arrange for training opportunities to enhance team member’s skills and encourage a continuous learning and growth within the team.
- Communication and Messaging: Facilitate effective communication within the team, and internal staff. Serve as a liaison between team members and upper management, relaying information, and updates.
- Event Management: Support other programs areas with event management activities.
- Additional Tasks: Reasonable ad hoc tasks as requested.
Essential Selection Criteria
Skills: The role requires professional, technical or management knowledge in a specialised area or across various areas.
- Organisation and Time Management: Meticulous attention to detail with strong communication and organisational skills. Ability to work under pressure to meet deadlines.
- Leadership: Strong leadership and interpersonal skills with ability to supervise, motivate and coach team members.
- Accounting Literacy: Proven accounting and bookkeeping skills.
- Computer literacy and Information Technology: Proficiency with data entry software, financial software, computer literacy and experience with Microsoft.
- Communication: Excellent oral and written communication skills with the ability to build relationships.
- Organisation: Ability to coordinate and track tasks and projects using a range of technology.
- Cultural Sensitivity: Ability to work with diverse populations with cultural sensitivity.
Knowledge: A substantial knowledge and understanding of related principles, techniques, and practices is necessary to perform the role requirements.
- Qualifications: Diploma in Business Administration, Accounting and Bookkeeping or higher or relevant experience in a similar role.
- Frameworks: A well-developed understanding of relevant statutory, regulatory and policy frameworks is necessarily applied to various interrelated activities and solutions to multiple problems in this role.
- Technology: Knowledge of Microsoft applications and relevant technology.
- Continuous Learning: Committed to continuous learning and processes.
- Knowledge of Corporate Services Functions: including facilities management, administrative support, and vendor coordinator. Familiarity with relevant regulations and compliance requirements, such as health and safety standards, data protection laws, and procurement policies.

- Emotional Intelligence: Understanding and managing one's emotions and the emotions of others is important for building positive relationships and resolving conflicts.
