Job Title: Hire Coordinator (Heavy Machinery Rental)

Our dynamic and energetic Hire Team is seeking a highly organized and detail-oriented Hire Coordinator to join them in Ravenhall, Victoria. As a Hire Coordinator, you will be responsible for managing the end-to-end rental process of Heavy machinery equipment, ensuring smooth operations, excellent Customer Service and a great experience for our customer, every time. Your role is critical to our customer centric operation and will involve coordinating rentals from start to finish, maintaining accurate records, and providing support, accurate information and great service to both customers and internal teams.
Skills:
- Exceptional Customer Service skills and the ability to communicate clearly
- An understanding of/background in heavy earth moving machinery or civil construction
- Excellent attention to detail and accuracy
- Outstanding interpersonal abilities and natural tendency to provide follow up and information
- Proficient computer skills, including experience with MS Office Suite and Access database
- Knowledge of Heavy machinery equipment is preferred but not mandatory
- Ability to work well under pressure in a fast-paced environment
Responsibilities:
1. Coordinate the rental process for Heavy machinery equipment, ensuring prompt response times, clear information and exceptional follow up for enquiries
2. Interact with customers via phone or email inquiries regarding rental availability, rates, terms, etc.
3. Prepare accurate rental agreements based on customer requirements and ensure proper documentation.
4. Schedule deliveries/pick-ups of rented equipment according to customer needs.
5. Collaborate with the Yard and Workshop teams for timely preparation of rented equipment prior to delivery.
6. Maintain updated records of inventory availability, contracts signed/terminated, damages incurred during rentals etc.
7. Handle customer complaints or concerns promptly by providing appropriate solutions or escalating issues when necessary.
8. Liaise with internal teams regarding maintenance or repair needs for rented machinery as required.
Qualifications and skills
1. Demonstrated passion for high levels of Customer Service and communication
2. Previous experience in logistics, call center operations or the hire industry would be favorably regarded but is not mandatory;
3. Proven ability to manage multiple tasks simultaneously while maintaining attention to detail
4. Proven ability to solve problems, negotiate solutions and work collaboratively with others to manage conflicting priorities and get the best outcome for the client
5. The ability to engage positively with clients and stakeholders to build lasting relationships
