Salary: UOM 5 – $83,159 - $95,518 (Pro rata) p.a. plus 17% super

As required by clause 1.15.9 of the 2024 EA, after seven days of internal advertising, current casual or fixed-term employees of the University will be provided with prior opportunity to apply for and be considered for vacant continuing positions if they meet the following criteria:

  • they have been employed by the University over two or more semesters and over two consecutive calendar years,
  • they have been employed on a 0.5 FTE or more time fraction, and

About the Role
The Deanery Admin Officer at the MDHS Deanery provides essential administrative support to the Office of the Dean, working closely with the Dean’s Executive Assistant and Chief of Staff to ensure smooth operations. The ideal candidate will be highly organised, capable of managing multiple tasks, and possess strong attention to detail, professionalism, and discretion.

Your responsibilities will include:

  • Mailbox management.
  • Coordinate and scheduling of the Dean’s meetings.
  • Provide administrative support to ensure the Dean’s meeting preparedness.
  • Filing and records management
  • Reconciliation of Dean’s expenses, creating purchase orders, arranging payment of invoices, etc
  • Ensuring a professional culture is maintained via email and all forms of communication.

Who We Are Looking For
The successful candidate will possess excellent interpersonal and communication skills, demonstrating sound judgment, diplomacy, and discretion in providing administrative support to senior staff. They will excel in adapting to changing circumstances, managing competing priorities, and working collaboratively in a team environment, all while maintaining high attention to detail and delivering high-quality work under pressure.

You will also have:

  • Tertiary qualifications and/or equivalent mix of relevant experience.
  • Excellent attention to detail and ability to deliver work of a high standard, within tight deadlines and under pressure at times
  • Experience of use of various databases to support filing and records management, financial management, academic research and human resources.
  • Willingness and flexibility to work outside of normal University hours (if required)

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn't have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
