The Opportunity

The Event Operations Support role is crucial in ensuring the smooth execution and success of various events. This position primarily focuses on providing operational support throughout all stages of event planning, implementation, and post-event activities. The Event Operations Support works closely with event stakeholders (internal and external) to facilitate seamless event experiences for exhibitors, attendees, and sponsors.

Key Responsibilities

Assist in the planning and coordination of event logistics, including equipment rentals, contractor agreements and suppliers.

  • Coordinate with vendors, suppliers, and service providers to ensure timely delivery of goods and services required for events.
  • Prepare event materials, including signage, ensuring accuracy and adherence to branding guidelines.
  • Support on-site event setup and breakdown.
  • Act as a point of contact for event participants and provide assistance and information as needed during events.
  • Manage registration processes, check-in procedures, and attendee inquiries to ensure a smooth registration experience.
  • Monitor event timelines and schedules, proactively addressing any issues or delays to maintain the event's pace and flow.
  • Collaborate with the marketing team to promote events through various channels and engage with attendees before, during, and after events.
  • Assist with post-event activities, such as gathering feedback from participants, compiling event reports, and evaluating the event's success against predefined metrics.
  • Maintain accurate records of event expenses, budgets, and invoices, ensuring compliance with financial guidelines and reporting requirements.

The successful candidate will have

  • Proven experience in event planning, operations, or coordination roles, with a strong understanding of event logistics and execution.
  • Excellent organizational skills and attention to detail, with the ability to manage multiple tasks and priorities in a fast-paced environment.
  • Strong communication and interpersonal skills, with the ability to interact effectively with diverse stakeholders, including exhibitors, contractors, suppliers, and team members..
  • Ability to work flexible hours, including evenings and weekends, to support events as needed.
  • Creative problem-solving skills and a proactive attitude towards addressing challenges and finding solutions.
  • Knowledge of industry trends and best practices in event management and operations.
  • Ability to work independently with minimal supervision while also thriving in a collaborative team environment.
  • Commitment to delivering high-quality service and ensuring a positive experience for event attendees and stakeholders.
