About the role:
We are looking for an event manager who has direct experience and knowledge of managing the complexities and logistics of large scale outdoor events. This is a hands on role that requires people management (staff, volunteers, partners), project planning, budgeting and risk management skills. Experience with Ways of Working, JIRA and Microsoft Dynamics or similar programs would be an advantage.
Job purpose
This Events Manager (EM) role has a key focus on the delivery of our events (physical events – rides, walks, runs etc) with a particular focus on our corporate walks. This position is directly responsible for the management and lead for these events with a clear purpose to achieve the following goals:
a) create safe environments, b) deliver financially sustainable events, c) creating and execution of event plans, d) high quality participation engagement, e) maximise the use of our volunteer workforce f) achieving KPI’s.
Duties and responsibilities
Responsibilities:
• In conjunction with the Senior Events Manager identify and deliver best practices to streamline event activities and procedures to increase efficiencies.
• Scoping of EM’s allocated event’s logistics, activations, and experiential components.
• Manage the budgets and financial expenditure, of the allocated events, to ensure they stay within the agreed expenditure.
• Deliver the events through quality project management, as the ‘Events Lead’.
• At times, be the ‘Project Lead’ on selected events (i.e. responsible for project management of all areas outside of the normal scope of event logistics, for that specific program).
• Deliver a safety-first culture in all that we do.
Duties:
• Execute quality event research and reconnaissance. Conduct site visits where necessary.
• Pre-tour planning: including identifying, sourcing, recruitment of, or booking of all resources required for each event. Including external stakeholders, infrastructure, equipment, and external expertise suppliers
• Communicate briefs to other parts of the organisation i.e. Finance, Marketing, Corporate Partnerships, etc, to ensure good communications and flow of information.
• Build quality briefs and deliver quality briefing sessions for your support crew on the events
• Create and maintain quality runsheets, maps, event documents and event tools for the successful execution of your allocated events
• Maintain accurate files and collection of data and ensure data is accurately stored.
• Build and maintain strong relationships with suppliers and industry bodies.
• Close off all events – logistics, budgets, and reports within two weeks of the event completion.
• Brief and manage the volunteers and the event support crew on your allocated events (i.e. when Project Lead or Events Lead)
• This role will work closely with other areas of the TdC’s business, particularly where there is involvement in your allocated events. These are: Finance, Corporate & Partnerships teams, and the Tour Experience Committee.

2+ yrs experience as an Events Manager.
Experienced project management software an advantage.
Good logistics and planning skills.
