Position Overview:
We are seeking an experienced and highly organized Executive Assistant to provide comprehensive support to the Trotec Laser ANZ Managing Director. The ideal candidate will be proactive, detail-oriented, and possess excellent communication and organizational skills. This role offers an exciting opportunity to work closely with senior leadership in a dynamic and fast-paced environment.
The role will be part-time three days per week, with the opportunity to work hours over five days per week (for example school hours).
Responsibilities:
- Administrative Support: Manage the Managing Director's calendar, schedule meetings, coordinate travel arrangements, and handle expense reports.
- Communication: Serve as the primary point of contact for internal and external stakeholders, screening and prioritizing incoming communications.
- Documentation: Prepare and edit correspondence, presentations, and reports on behalf of the Managing Director.
- Meeting Coordination: Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items.
- Project Management: Assist in coordinating special projects and initiatives, ensuring deadlines are met and objectives are achieved.
- Information Management: Maintain confidential files and records, ensuring accuracy and accessibility.
- Relationship Management: Build and maintain effective relationships with key stakeholders, both internally and externally.
- Ad Hoc Support: Provide additional support to the Managing Director and other members of the leadership team as needed.
Qualifications:
- Proven experience as an Executive Assistant or similar role, supporting senior executives.
- Bachelor's degree in Business Administration, Communications, or a related field desirable but not essential
- Exceptional organizational and time management skills, with the ability to multitask and prioritize effectively.
- Strong attention to detail and accuracy in all work.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite and other relevant software applications.
- Discretion and confidentiality in handling sensitive information.
- Ability to thrive in a fast-paced, high-pressure environment.
Role Requirements:
- Part time - 3 days per week or hours spread across 5 days per week.
- Salary commensurate with experience
