YHAC strives to improve the wellness and health of Aboriginal and Torres Strait Islander people in our communities within Ceduna and the surrounding areas. YHAC also operate a fully accredited 24-hour residential aged care facility.
Executive Assistant
We are seeking a highly organised and proactive Executive Assistant to support our Executive Team at YHAC! This is a fixed-term 12-month contract position, with the potential for an ongoing contract based on performance and organisational needs.
The Executive Assistant will report to directly to the CEO and has the pivotal role of providing comprehensive administrative and operational support to the executive team, facilitating smooth communication and coordination both internally and externally, maximising the executives' efficiency and effectiveness. This role requires exceptional organisational skills, attention to detail, discretion, and the ability to handle confidential information with integrity.
Working Arrangements:
- Initial Full Time Fixed-Term 12-Month Contract
- 6-month Probationary Period
- Day Shifts Monday-Friday
Key Selection Criteria:
- Formal Qualifications in Business, Administration, Public Health or related field preferred.
- Proven experience as an Executive Assistant or similar administrative position, preferably in a healthcare or non-profit environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong communication skills, both written and verbal, with the ability to interact effectively with diverse stakeholders.
- Excellent organisational and time management skills, with the ability to prioritise tasks and manage multiple deadlines.
- Strong attention to detail and accuracy.
- Knowledge of Aboriginal cultures, communities, and healthcare issues is highly desirable.
- Ability to work independently with minimal supervision and as part of a team.
- Current National Police Check, DHS WWCC, and DHS Aged Care Screening.
- Current valid Driver Licence (minimum of Class “C” or equivalent).
- Evidence of Current Flu Vaccination, and Covid-19 1st, 2nd & Booster Vaccinations.
Key Responsibilities:
- Provide comprehensive administrative support to the CEO, Executive Team, and YHAC Board, including managing calendars, scheduling meetings, and making travel arrangements.
- Prepare and distribute correspondence, reports, and presentations on behalf of the executive team.
- Attend and proactively minute all meetings and prepare action lists for the CEO to review prior to distribution.
- Coordinate and facilitate communication between internal departments, external stakeholders, and community partners.
- Manage and prioritize incoming emails and phone calls.
- Maintain confidentiality and handle sensitive information with discretion and professionalism.
- Conduct research and compile data as needed to support decision-making processes.
- Assist with special projects and initiatives as assigned by the executive team.
- Other duties as assigned to support the overall goals and objectives of the organisation.
