About Department
This position forms part of the Executive Administration team, providing high level Executive Administration support to the CGH Executive team.
About the Role
The Executive Assistant reports to the Manager Executive Services and is responsible for the provision of high level reception, secretarial and administrative support services to the Director of Aged Care Services, and the wider Executive Team as required.
Duties
- Planning, prioritising and coordinating Executive Directors work schedules
- Screening incoming mail, telephone calls and meeting requests, facilitating interactions between internal and external customers
- Drafting correspondence, meeting papers (agendas/minutes/action registers) and maintaining document management systems
- Maintaining a series of registers, including patient feedback, service contracts, gifts, and others
- Providing support to Boards of Management, including some afterhours meetings
About You
- Business/Administration related qualification at a minimum Certificate 3 level, or equivalent demonstrated experience in similar roles
- Demonstrated experience working with a high degree of change management issues
- Outstanding planning ability, time management skills and attention to detail
- Excellent interpersonal communication skills
- Sound understanding and experience in a highly confidential area
