What we're looking for:
We are currently seeking an Executive Assistant to take on a pivotal role, providing seamless support to our two Co-Founders while actively contributing to the management of our dynamic Australian media company's overall employee experience.
Reporting directly to the Chief of Staff, you will be instrumental in maintaining a high level of efficiency and coordination across our offices (Sydney & Melbourne). This role is based in our Sydney office and requires a full-time, in-office presence. Here's some of the stuff you can expect to be doing if you join us:
- Providing comprehensive executive support to both Co-Founders, managing personal and business requirements with the utmost confidentiality and professionalism.
- Coordinate complex and dynamic calendars, meetings, and travel arrangements.
- Providing project support to the Chief of Staff
- Prepare and organise documents, presentations, and other materials as needed.
- Provide support for company All Hands, meetings, offsites and training days
- Coordinate relationships for charity activities for Rize up and others as required
- Collaborate with relevant stakeholders to implement and improve office policies and procedures.
- Act as a central point of contact for internal and external stakeholders.
- Execute and coordinate employee engagement activities, including but not limited to staff events, celebrations and milestones; birthdays, baby showers, anniversaries, end of year party
Now, a bit about you:
- Previous experience as an Executive / Personal Assistant, preferably supporting C-level executives.
- Possession of a valid driver's licence and own car for occasional business-related needs.
- Strong organisational and multitasking abilities with excellent verbal and written communication skills.
- Proficient in office software and applications (e.g., MS Office Suite, Google Suite).
- Familiarity with contract management and vendor coordination.
- Ability to handle sensitive and confidential information with integrity.
- Strong attention to detail and problem-solving skills.
- Ability to work independently and prioritise tasks effectively.
- Professional and friendly demeanour, with excellent interpersonal skills.
- Commitment to working full-time hours in the Sydney office.
