The opportunity:

We have a newly created opportunity for an Executive Assistant (EA) to support the Chief Financial Officer (CFO) and General Counsel (GC). This role will have 2 direct reports and be responsible for providing strategic administrative support, ensuring the seamless running of daily operations for the Finance and Legal functions.

The EA will have a keen eye for detail, exceptional organisational skills, and adept at fostering positive relationships with internal and external stakeholders both locally and internationally across the business.

This highly visible role allows for exposure to various parts of the business, contributing to workplace culture and exceptional employee experience. They will be responsible for contributing to the delivery of workplace events and initiatives that elevate the workplace environment, foster employee engagement that reflects a commitment to unity, collaboration, health and wellbeing.

As the successful applicant, some of your responsibilities include:

  • Executive support for CFO and GC, including diary and email management across time zones, managing conflicts, and triaging and management of emails
  • Efficient management of the legal administration team
  • Serve as a central point of contact and facilitate communication among team members and stakeholders. 
  • Prepare and distribute correspondence, agendas, and meeting materials including board minutes and action items
  • Organising business appointments and travel arrangements both domestic and international
  • Coordinating the organisation of business functions, townhall meetings, conferences, office events, Senior Executive Sessions, and team building events
  • Expense management and reconciliation, SAP invoice and vendor management
  • Assist with periodic reporting and management of forecast and budget process
  • Actively look for ways to improve the productivity of the team

You may have all or some of the following skills / experiences:

  • Demonstrated experience as an Executive Assistant supporting at C-Suite level within a corporate environment
  • Excellent time management skills with a demonstrated ability to organise and prioritise tasks to meet deadlines
  • Exceptional people management capabilities
  • Advanced Outlook, Word and PowerPoint skills, intermediate Excel
  • Proficient in developing and formatting PowerPoint presentations; InDesign experience a plus
  • Proactive and adaptable with diverse teams and working styles
