We are seeking a highly organized and proactive Executive Assistant to support our senior management in the day-to-day running of our practice.
Job Brief:
We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers. This role is crucial in enhancing the efficiency of our business operations by providing personalized and timely support to executive members, ensuring the smooth running of our multiple clinic locations. You will learn every aspect of the current roles.
Key Responsibilities:
- Act as the primary point of contact among executives, employees, clients, and external partners.
- Manage executives’ calendars, schedule meetings, and ensure effective time management.
- Arrange travel and accommodations, including flight bookings, transportation, and detailed itineraries.
- Prepare and manage expense reports, maintaining accurate financial records.
- Oversee the performance of other clerical staff and manage office supplies inventory.
- Format information for internal and external communication, including memos, emails, presentations, and reports.
- Take minutes during meetings and ensure proper documentation.
- Screen and direct phone calls, handle correspondence, and maintain the office filing system.
- Draft, review, and send communications on behalf of company executives.
- Organize and prepare for meetings, including gathering documents and handling logistics.
- Manage the reception team to ensure high-quality customer service and efficient operations.
- Drive sales retargeting initiatives to increase revenue.
- Assist in the recruitment process, including scheduling interviews and onboarding new hires.
- Coordinate recall and re-servicing of hearing aids, including handling workers' compensation refits.
- Ensure compliance with government benefits programs and manage related documentation.
- Verify and process invoices, ensuring timely payments for repairs and service delivery.
- Organize and implement training programs for the reception team to enhance performance and service quality.
Requirements and Skills:
- Proven experience as an Executive Assistant, Personal Assistant, or similar role.
- Excellent proficiency with Microsoft Office (Word, Excel, PowerPoint) and familiarity with office gadgets and applications (e.g., e-calendars, copy machines).
- Outstanding organizational and time management skills.
- Exceptional verbal and written communication skills.
- Discretion and confidentiality in handling sensitive information.
- High School degree; a Bachelor’s degree in Business Administration, Communications, or a related discipline is preferred.
- Professional certifications, such as Certified Administrative Professional (CAP) or Certified Executive Assistant (CEA), are a plus.
- At least three years of experience in an administrative or Executive Assistant role.
- Familiarity with the healthcare or audiology industry is advantageous.
