Position Overview:
We are currently seeking a highly organized individual to join our Oceania team located at Docklands, Melbourne to assist the Senior Leadership in enhancing business value and providing comprehensive administrative and customer service support to the wider organization.
Responsibilities:
- Provide high-level administrative support to executives, including calendar management, travel arrangements, and correspondence.
- Manage diaries and emails to facilitate efficient organization and execution of daily activities.
- Coordinate meetings, conferences, and events, handling scheduling, logistics, and preparation of materials, while managing agendas and minutes.
- Act as a liaison between executives, internal teams, and external stakeholders, maintaining professional communication and relationships.
- Oversee office supplies and services, including restocking supplies, ordering stationary, kitchen supplies, office furniture, and other essentials.
- Coordinate office equipment maintenance as required.
- Serve as the primary contact with building managers, providing information, answering questions, and managing office passes for employees.
- Adhere to company code of conduct, policies, and procedures.
Requirements:
- Proven experience in an administrative support role, preferably supporting executives.
- Exceptional organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to handle sensitive information with discretion and confidentiality.
- Proficiency in Microsoft Office Suite and other relevant software.
- Australian working rights are essential for this role.
