Responsibilities:

As an integral part of Our Team, you'll provide crucial support to our Directors by managing emails, schedules, communications, and various administrative tasks, including:

  • Handling incoming calls, emails, and other communications.
  • Managing and booking freight.
  • Maintaining the Directors' calendars, appointments, and travel arrangements.
  • Assisting with report, presentation, and document preparation.
  • Assisting with financial tasks such as supplier invoices, expenses, and accounts reconciliation using Xero.
  • Handling confidential information with discretion.
  • Providing general administrative support to the project team.
  • Overseeing office supplies, inventory management, and procurement.
  • Maintaining and updating company databases, records, and filing systems.

Ideal Candidate:

We're seeking an individual with the following qualifications and attributes:

  • Previous experience in administration / executive assistance, preferably in a trade, manufacturing, building, or construction industry, familiar with numerous moving parts.
  • High attention to detail.
  • Excellent communication skills, both verbal and written.
  • Ability to work independently.
  • Positive attitude and proactive approach.
  • Strong follow-through and completion of tasks.
  • Willingness to learn new software.
  • Proficiency in Google / Microsoft Word and Excel.
  • Excellent planning and organizational skills.
  • Basic accounting knowledge and familiarity with accounts payable/receivable tasks.
