A bit about the role
As the Executive Assistant to the Director Corporate Services, you will play a crucial role within the Corporate Services Directorate. Your significant experience supporting executive staff will mean you will confidently and with minimum supervision help to run a productive and responsive Directorate.
You will manage the day-to-day business administration of the Corporate Services office, responsible for calendar management, incoming and outgoing correspondence, along with project/event management of strategic initiatives including leadership events, planning days and special projects.
You will be familiar with keeping high quality records and effective with following up key items with staff across Council regularly, along with establishing and maintaining systems and processes to maximise the effectiveness and efficiency of the Corporate Services office.
What you’ll deliver
- Manage and maintain calendar appointments and scheduling meetings
- Prepare and review meeting agendas, following up action items and preparing required materials
- Manage all incoming correspondence, providing updates and upkeep of records management to ensure effective and timely responses
- Streamlined administrative processes, identifying and residing procedural improvements
- Ad-hoc support aligned to the priorities, responsibilities and requirements of the Corporate Services Directorate
- Preparation of draft reports, presentations, correspondence, financial and budget related tasks
What you’ll bring
- Extensive experience in senior secretarial/Executive Assistant environment
- A robust understanding of Local Government, its services as well as knowledge of Councillors and our local community
- Political nous, understanding confidentiality requirements and the ability to recognise and communicate sensitive priorities
- Exceptional oral written communication skills, succinctly communicating to a variety of stakeholders
- A qualification in business or related discipline or a lesser qualification with substantial relevant experience
- A positive, curious and flexible mind
