Great opportunity for a professional, proactive and self-motivated Executive Assistant (EA) / Personal Assistant (PA) to support the CEO, Board and ELT of a global organisation of 1000 + staff. This is a fantastic opportunity to support the CEO and Board and work collaboratively with the EA team to support one or more Executive Leadership Team (ELT) members as needed.

Role
Providing administrative support to the CEO, the Board, and members of the ELT, this position will involve working directly with high-level external national and international stakeholders. Key day to day aspects of the role:
- Extensive diary management
- Coordinate meeting logistics: planning, scheduling sessions, booking rooms and external venues, inviting attendees (internal or external) and booking enabling virtual-technology tools, organising catering
- Take responsibility for scheduling various Committees, Team meeting, off sites / events
- Prepare and review expense claims in accordance with company policy
- Travel management – flights, hotels and transfer management in accordance with company policy including international flights, accommodation and transport
- Preparation of presentations and Board communication, supporting the CxO prepare for Board and Committee meetings
About YOU !
- Executive Assistant / Personal Assistant experience in a company of similar size (1000 + staff)
- Experience supporting C’ level executives – multiple executives
- Proactive, self-driven, self-managing
- Ability to work in ambiguity and change
- High level of professionalism, confidentiality and ethics to represent the business with external stakeholders and operate at Board level
- Team driven and able to jump in, support and work with the pool of EA’s
- Strong builder of rapport with a range of personalities and ability to adjust style and approach accordingly
- Ability to build relationships with the ELT to foster a strong relationship with the CxO
- Ability to attend Melbourne CBD office with occasional work from home
- Ability to work outside the 9 to 5 to support a C’ level Executive operating across multiple continents.
