- Administrative Excellence for Leadership: Provide comprehensive support to the Mayor and Council members by managing individual and main council diaries, scheduling appointments, and organizing all necessary logistics for daily activities.
- Communication and Correspondence: Prepare and draft correspondence, ensuring all communications reflect the Council’s high standards and commitment to community engagement.
- Event and Meeting Coordination: Plan and oversee council meetings, briefings, civic functions, and citizenship ceremonies, including arranging catering, equipment, and presentation needs. Ensure all aspects of these events are executed flawlessly to promote a positive community image.
- Document and Report Preparation: Take responsibility for the collation, preparation, and management of reports, documentation, and councillor expenses. Ensure transparency and accessibility by updating information on the Council’s website.
- Stakeholder Interaction: Serve as a primary point of contact between the Council and community members, enhancing public and customer relations. Manage and follow up on service requests and correspondence workflows to guarantee timely responses.
- Financial and Resource Management: Handle the processing of purchase orders, payment of invoices, and reconciliation of expenses. Oversee the distribution of resources and equipment necessary for councillors to effectively fulfill their duties.
- Research and Administrative Support: Assist the Mayor, Council, and Manager Corporate Integrity with research, data presentation, and general secretarial duties to support decision-making processes.
- Demonstrated experience managing competing demands and priorities, ideally in a local government or similar political setting.
- Proven administrative, organizational, and event coordination skills, with a strong ability to manage detailed tasks efficiently and accurately.
- Excellent oral and written communication skills, capable of preparing comprehensive reports and engaging effectively with stakeholders.
- Experience with stakeholder management in a high-pressure environment would be advantageous.
