How you'll make an impactWe are currently seeking an experienced Executive Assistant (EA) to provide tailored support to our Chief General Counsel (CGC). You will also support, where required, the People & Culture team and Heads of the Legal and Risk teams.You will provide high-level executive support dealing with highly confidential information, diary management, expense management, coordinating travel, event management, organising and providing support at management meetings as well as liaising with other key internal and external stakeholders.On a day-to-day basis, you will:
- Provide organisational and coordination support to the CGC and General Manager – People & Culture and as required to their direct reports along with managing key stakeholders and relationships
- Provide “complete” administrative support including responding to incoming emails, calls and enquiries from the business, and take actions when appropriate
- Manage complex diary and a high-volume email Inbox effectively to maximise time efficiency
- Coordinate and prepare for meetings, including the preparation of agendas and distribution of minutes
- Coordinate travel, for both domestic and international meetings, events and conferences
- Reconcile credit card expenses and personal expense reimbursements in a prompt and timely manner, ensuring that key dates are met for payment
- Preparation of presentations for internal and external speaking engagements, including keynote presentations if required
- Manage key stakeholders and relationships (both internal and external) of the CGC and General Manager – People & Culture
- Coordinate functions and events as and when required
- Manage filing and other records in a timely and effective manner
- Lead and/or participate in ad hoc project work as required
- Demonstrated experience working as an EA supporting C suite leaders
