ABOUT THE ROLE
We know that a great Executive Assistant and Office Manager might just be the C-suite’s secret weapon.
In this office based role you’ll be working very closely with the CEO.
Although an EA & Office Manager role includes what can sometimes feel like a never-ending list of things to do, this role has three key objectives:
1. To provide high level administrative support to the CEO.
2. To be the first line of contact for all internal and external communications the CEO has with the team, the Board or other stakeholders.
3. The management and delivery of day-to-day operational business and office administration.
As EA and Office Manager, you’ll be responsible for the CEO's daily administrative support, office management, as well as some key financial processes like invoicing and liaising with external suppliers. To support you in doing this effectively you have responsibility for a budget dedicated to the administrative aspects of the business.
Given the size of the team and the nature of the work we do, from time to time you’ll be planning meetings and supporting the marketing team in the organisation of events.
Along the way you’ll also be doing research, creating reports and presentations. Some will be periodic (e.g. board reports) and some will be ad hoc (e.g. for a pitch or event), always with the integrity of the brand in mind.
A significant part of your time will be spent writing emails, making calls and talking to people in meetings - in a nutshell - communicating. You’ll do this with ease and grace to effectively manage different stakeholders expectations and ensure the right information gets to the right people, at the right time.

We are a small dynamic team of specialists who work together to provide audience measurement, marketing, policy, government relations and other services to our members.

Members of the OMA include the major outdoor advertising companies companies like JCDecaux, oOh!media and QMS Media, as well as a series of members who provide support services to our members and members who own some of the major assets like Transport for NSW and Telstra.
Sitting alongside the OMA is MOVE (Measurement of Outdoor Visibility and Exposure), the Audience Measurement System used by the OMA members. MOVE is a separate entity but shares the CEO, staff and offices with the OMA.
ABOUT YOU
You’re the kind of person others describe as a people person, with a good sense of humour and a natural ability to communicate well, in person and in writing.
A professional problem solver, a master of organisation, a trusted confidant, and an administrative expert - all rolled into one.
Often found moving things around slightly on restaurant tables so that they’re symmetrical or suffering friends jokes about your particular traits, you’re the kind of person for whom the little things are the big things - attention to detail is in your DNA.
You get a real sense of satisfaction out of ticking things off to-do lists and meeting deadlines.
If something can be done more effectively then you can’t stand being involved in the less-than-ideal process and have been the architect of many process improvement solutions in your time.
You have an appreciation for the art and science of effective communication - or even a particular love of graphic design, fine art, typography, creative writing, advertising or something similar.
We're keen to meet you if you've had at least 3 or 4 years experience in a similar EA or PA style role. Even if you haven’t, we’ll need you to be confident sharing examples of how you’ve handled the responsibilities we’ve outlined for this role in the businesses you’ve worked for previously. The ideal candidate would confidently be able to say - “I enable the day-to-day management routines that enhance the effectiveness of the CEO and the organisation as a whole; I’m an integral part of the management team.”

There’s also the local pubs including the LoRo (Lord Roberts) and Hyde Park House which has the perfect summer time rooftop bar.
