The Role
We are looking for a standout Executive Assistant/Office Manager to join the team, reporting directly to the Managing Director ANZ. In this key role, you will provide exemplary support to the Managing Director and Senior Management team in Australia. With the support of your director report, you will also be responsible for ensuring the effective running of the office. You will be required to attend the office 4 days a week, with flexibility to work remotely 1 day per week.
Job Responsibilities
- Provide administrative support and effective diary management for the Managing Director ANZ and Senior Management
- Responsible for submitting monthly expenses reporting for the senior leadership team
- Facilitate all domestic and international travel and accommodation requests
- Work closely with International EA’s and manage guests’ itineraries and logistics
- Assist in the organization of company events
- Working closely with the Receptionist as your direct report, responsible for all office related administration and upkeep
- Oversee general office administration for local Head Office including facilities maintenance, office supplies and IT management
- Prepare reports and presentations as well as consolidating reports for functional leads, for the use of senior management
- Partner with P&D and hiring managers to support new hire onboarding with regards office set up and requirements
- Due to the nature of role, outside of office hours is sometimes required
Skills and Experience
- Proven experience in a similar role
- Excellent communication and interpersonal skills
- Exceptional attention to detail and organisational skills
- Ability to work effectively and efficiently with all members of the organisation
- Strong customer focus with a friendly can-do attitude
- Ability to work well under pressure and often to time-sensitive deadlines
- Sound working knowledge of Outlook and across all Microsoft Office software
