Executive Assistant Operations

Full time, Ongoing Position (subject to funding)

WHO WE ARE:

Gippsland PHN is a not for profit charity that works at a regional level to achieve improved whole of system health care. Our vision is for a Measurably Healthier Gippsland.

We work closely with the primary health care system, identifying opportunities to improve health outcomes in Gippsland communities. We do this through health system improvement programs, and by commissioning services to address local health needs via our regional commissioning role.

We aim to:

  • ensure health issues are prioritised, understood and invested in; using local strengths;
  • build and support local capability in primary health care professionals;
  • enable transparent communication and information exchange across the primary health care sector; and
  • improve access in primary health services particularly for those at risk of poor health outcomes, and where gaps exist in hard to reach locations.

Executive Assistant Operations

Do you have a high level of administration skills and are interested in providing support to an Executive Manager and Operations Team?

We currently have a full time (1.0FTE) career opportunity available as the Executive Assistant Operations. The Executive Assistant Operations enables the efficient and effective functioning of the Executive Manager Operations through providing high level administration and project support to the Operations team. Reporting directly to the Executive Manager Operations, this position assists teams and portfolio areas of Digital Health and Integration, Program Delivery, Primary Care Response, System Reform, and Communications Support. The Executive Assistant Operations will also contribute to analysis, planning and monitoring, and reporting activities within the teams.

We are looking for an astute, agile, dynamic, outcomes focused team member. Useyour skills to completework packages including but not limited to:

  • Provide high level administrative support for the Executive Manager Operations, including appointment scheduling, diary/calendar maintenance, minute taking for organisational committees and working groups, and Board Committees, document processing, drafting correspondence, email and records management and liaison with internal and external stakeholders;
  • Assist in the development of reports, fact sheets and other tools that can be used both internally and externally to support the Operations functions at Gippsland PHN; 
  • Coordinate Gippsland PHN Advisory Group meetings through agenda preparation, communication with Chairs and Advisory Group members, minute taking, collating outputs from the quarterly meetings, and assisting with co-ordination of recruitment processes for new members;
  • Coordinate Gippsland PHN Clinical Governance and Performance Committee meetings through agenda preparation, communication with the Chair and Committee members, minute taking and collating outputs from the quarterly meetings;
  • Provide support and backfill to the Executive Assistant to the CEO as required including preparation and upload of Board and Committee meeting papers; taking Board and Committee meeting minutes; and communication with Board Directors;
  • Maintain relevant registers, initiate review processes, and draft policy and procedure updates where appropriate;
  • Assist with the delivery of team projects and activities as defined within the Annual and Business Plan, under the direction of Executive Manager Operations and the Leadership Team; 
  • Provide administration support to teams specifically within the areas of Digital Health and Integration, Program Delivery, Primary Care Response, System Reform, and Communications; and
  • Maintain procedures to support Managers in team monitoring and reporting of program outcomes and expenditure via the business plan.
