Central Highlands Regional Council is currently seeking a highly experienced person to come onboard as the Executive Assistant to the Chief Executive Officer.
As the Executive Assistant (EA) to the Chief Executive Officer (CEO) provides a high level of professional administrative and executive support to the CEO to ensure excellence in customer experience and service delivery across the Organisation. This position, alongside the EA Mayor and Councillors will act as positive role models to the EA network across council by setting high service standards.
The Executive Assistant will ensure the CEO is prepared and informed on all relevant matters in a timely manner. In providing this support the position exercises a high degree of communication competence, initiative, discretion and confidentiality.
In this busy role, you will support the organisation by:
- Provide a high level and full range of administrative support in a timely and accurate manner with excellent attention to detail, including records management, mail and email management, and maintenance of registers and databases.
- Act as the principal contact point for the CEO’s Office and liaise with key stakeholders in consultation with the CEO.
- Alert the CEO to matters requiring immediate attention and manage those issues in the CEO absence.
- Ensure smooth running of the office of the CEO by addressing technical and other issues promptly.
- Provide administrative and logistical support to the CEO for travel and conferences/events.
- Use judgement and initiative to independently identify, assess, analyse and report on matters coming into or emanating from the CEO's Office, demonstrating a sound understanding of the CEO’s business and exercising sound judgement on the manner of response.
- Work collaboratively with the Executive Assistant to the Mayor and Councillors to maintain functional coverage of the executive office.
- Preparation of reports, agendas and minutes, ensuring that documents are appropriately managed and recorded and the highest level of confidentiality is maintained at all times.
- Demonstrate intuition and initiative, ensuring the CEO is adequately prepared with the relevant information required for meetings, conferences etc.
- Effectively coordinate and organise meetings and functions, including attendance, meeting room bookings, catering and the preparation and distribution of relevant documents.
- Implement systems and practices that promote high level forward planning to ensure the CEO has the appropriate background documentation, reports and associated information for meetings and appointments.
- Support the coordination of organisational events that may involve the presence of the CEO.
- Coordinate and manage appointments, meetings and provide scheduling advice to ensure the CEO’s time is efficiently managed and prioritised and critical timelines are met.
- Manage incoming calls, emails and correspondence, proactively determining significance and managing distribution.
- Provide administrative support to the CEO for financial processes, including procurement, purchase orders, reconciliation, payment and purchase of credit card and business expense claims.
- Ensure that all financial processes for the CEO’s Office follow the current legislative requirements in particular Council’s procurement policies and procedures.
To be considered for this opportunity, you will need to possess:
- Minimum of Queensland C class provisional drivers licence.
- Advanced competency in the use of the Microsoft Office suite.
- Previous experience providing executive support at a senior management level, preferably in local government.
- High level of diplomacy, confidentiality and customer service skills.
- Excellent time management and organisation skills with the proven ability to assist in meeting competing deadlines.
- Demonstrated ability to develop and maintain relationships with internal and external stakeholders that enable collaborative partnerships both within and external to the organisation.
- Highly developed verbal, written and interpersonal skills across all levels of an organisation with experience in report writing, minute taking and the ability to draft various forms of documents and correspondence, and concisely summarise information.
- Ability to demonstrate flexibility in approach to work and workloads.
