Qualifications & experience
- Minimum 5 years as an Executive Assistant (experience interfacing with government preferred but not essential)
- Experience working with Senior Executives
- Extensive Microsoft office experience
- Experience working with Xero (preferred but not required)
- Excellent administrative skills including diary and email management, planning and time management
- Ability to multi-task, work under pressure, prioritise competing interests and meet deadlines
- Excellent written and verbal communication skills
- Ability to build and maintain relationships with a variety of stakeholders
- Discretion and confidentiality / honesty and integrity
- Accuracy and attention to detail
Tasks & responsibilities
- Manage and maintain the CEO’s diary/commitments and arrange CEO's travel
- Manage the CEO’s email
- Organise team meetings including taking minutes, recording action items and documentation of decisions made at meetings
- Review and quality assure advice and documentation to the CEO for accuracy, completeness and compliance
- Lead the development, implementation and review of administrative systems, policies and procedures to support ACA’s objectives
- Liaise and negotiate with senior officers across ACA to ensure the coordinated development of clear, timely and accurate advice to the CEO
- Manage administrative processes across ACA and provide support and guidance to members of the ACA, staff and stakeholders to ensure high level, timely executive and administrative services are provided to the CEO
- Assist with the preparation of the organisation’s strategic plans, annual plans and annual reports
- Arrange ACA Board meetings and functions, set agendas, compile and circulate all Board papers and attend meetings to take accurate and comprehensive minutes
- Facilitate the appointment and induction of new Board Members
