Ports North is responsible for the development and management of port facilities vital to the economic growth of Cairns and regional centres in Far North Queensland. The Corporation has extensive property, marina, tourism and cargo facilities in Cairns and its regional ports.
An excellent opportunity exists for a forward thinking, highly organised, proactive and experienced Executive Assistant to provide high level support to the CEO and Management Team.
Your impeccable professionalism, attention to detail and highly effective communication skills will enable you to take complete ownership in the provision of high level secretarial and administrative support. Main responsibilities will include:
- Maintain day to day oversight of the CEO’s diary, manage logistics and the co-ordination of key meetings and events to ensure the Office of the CEO runs effectively and efficiently.
- Provision of high level administration support including preparing and editing correspondence, Board documents, meeting minutes and presentations.
- Coordinating the preparation and distribution of Board and Committee agendas and papers in consultation with the
Chief Executive Officer and management team. - Liaising with Board / Committee members and Directors as required.
- Coordinating travel arrangements as required.
- Facilitating on time responses to Government information requests.
- Working independently and proactively to ensure all programs of work progresses as planned and monthly and quarterly reporting processes for Board and Government are effectively managed.
- Data administration of Ports North’s record management system including organising record retrieval and archiving.
- Developing effective systems to ensure confidential and accurate information is maintained and readily available.
- Undertaking other administrative tasks as requested including assisting with reception enquiries, setting up for meetings and processing payments and invoices.
- Building strong networks and working relationships with both internal and external stakeholders.
- Promoting a safety culture and maintain a safe working environment in accordance with the Safety Management System.
- Promoting an environmentally conscious culture to ensure environmental risks are identified and minimised.
To be considered for this role, you will be highly organised with exceptional ability in managing a number of priorities simultaneously and efficiently. Previous experience in a similar role as well as dealing with internal and external stakeholders at all levels of the organisation is essential. Exceptional MS Office expertise and the ability to be discrete and sensitive to confidential information fundamental.
