Driven by a culture of thought-leadership, continuous improvement and a commitment to excellence, this exciting team is seeking an Executive Assistant to work on a face-to-face basis in their two Melbourne locations.
About the position
As a confident and self-sufficient Executive Assistant with a strategic mindset, you’ll enjoy the autonomy and responsibility on offer within this newly-created role based across two office locations.
Supporting the busy Managing Director in achieving his strategic goals, you’ll understand the need for proactive decision-making and self-directed activities. Your leader will appreciate the value you bring, being assured of your skills in acting as gatekeeper to his schedule, managing his responsibilities across multiple Boards, and aiding his accountability in meeting business objectives.

Position responsibilities
- collaborating with management and directors to enable efficient and effective delivery of strategic goals
- recognising process improvement opportunities, and implementing as needed
- supporting Board and executive meetings through preparing minutes, briefing notes, agendas and reporting
- assist with management of extensive investment portfolio
- managing your leader’s diary appointments and logistics, to proactively schedule, organise, and prioritise meetings
- providing quality and timely administrative support
- coordinating all aspects of domestic and international travel arrangements
- researching and managing a range of projects to deliver within agreed timeframes
- coordinating inbound and outbound correspondence in a professional and timely manner, including preparation of briefs and responses as required

Preferred skills and experience/requirements
- minimum 5 years’ experience supporting C-suite executives in a mid-sized organisation
- strong proficiency in Microsoft Office
- must be able to work from 2 locations ie Melb CBD & Hallam offices
