Perfect for a highly experienced EA who is looking for stability and a new challenge. You will be working for an International Australian Based Company that has grown over the past 47 years into one of the world’s largest hair restoration companies, with approximately 65 offices worldwide.
The Opportunity
This is a fantastic position for an experienced Executive Assistant who is commercially savvy and seeking a challenging, varied role where your contributions directly influence the operations of this International Organisation, while also providing administrative and general support to the Chief Executive Officer and wider executive team.
This is a full-time position based at our East Melbourne Head Office with on-site car park offered with the role.
As EA to the Chairman, you will have a broad scope of responsibility. This role is both challenging and extremely rewarding. We’re seeking someone with a comprehensive range of administrative skills from diary and travel management, office admin, to rolling your sleeves up to do whatever it takes to support the Managing Director and the business in general.
You will have two direct reports and also be responsible for assisting the Australian based management team.
Responsibilities
- Act as primary contact for the Chairman, manage communications and ensure the efficient flow of information to various internal & external stakeholders
- Anticipate, prioritise and provide efficient administrative and general support to the Chairman and members of the senior leadership team, as required.
- Coordinate, organise and attend (where required) various meetings, events & conferences
- Execute expense and invoice management
- Maintain a proactive interest in understanding business priorities and commercial objectives and meaningfully contribute to the successful running of the business.
- Identify and act on opportunities for improvement within the business including but not limited to administration procedures & systems
- Demonstrate initiative in all tasks and apply sound judgement in all decision-making including when to seek approval
- Assisting the Chairman & CEO in coordinating on-line and off-line marketing strategies.
Skills & Experience
- At least 5-10 years' experience in a high level Executive Assistant position, preferably for a privately owned company.
- Minimum 5 years' staff management and leadership experience
- Tertiary level qualification or diverse commercial business experience
- Intermediate to advanced knowledge of MS office including PowerPoint and Excel
- Assertive, proactive but friendly & approachable in nature
- Strong stakeholder management skills
- Exceptional eye for detail
- Excellent creative and organisational skills
- Professional communication skills and sound judgment
- Confident working autonomously with minimal supervision
Helpful Information:
- Interviews will be conducted from early September.
- We are looking to fill the position by the end of September.
- This is not a 9 to 5 role when the Chairman is in Australia. The working hours change, generally speaking requiring the successful candidate to start later and finish later.
- Our company recognises that the hours can be unconventional during this time and is therefore very flexible in making the position work for the right candidate.
- When the Chairman is not in Australia, then the working day returns to more conventional hours.
