Working for a leading Architecture practice in North Sydney!
This practice is looking for an experienced Executive Assistant to support three highly regarded Directors, who need you to make sure their day to day is running smoothly. Working alongside the most amazing Practice Manager also this role will keep you busy and add a lot of variety. Your day to day will not be the same, the Directors are all about providing a supportive and creative environment and allowing you to flourish in your role. The practice is big on providing opportunities as they have many arms to the business, however requires someone who is keen to step into a challenging and demanding environment with incentives and rewards for the effort put in week to week.
Your Day to Day:
You will be supporting 1 Director who is hard working, determined, inspiring and supportive. You’ll need to be extremely proficient and unflappable always being focused on the big picture.
You’ll need to be a forward thinker as this role is all about making sure everything is running efficiently and you are always one step ahead. An EA who likes a challenge this is the role for you without a doubt.
- Maintenance of the Directors’ incoming and outgoing emails.
- Maintenance of the Directors’ diaries and coordination of meetings etc.
- Assisting the relevant Director with the management of IT needs.
- Assisting Directors in finalising of invoicing and cash flows as required
- Transcribing audio recordings, copy typing and proof reading.
- Formatting of documents using Microsoft Office and Adobe Creative Suite. Documents include
- submissions, registrations of interest, tenders, and project reports.
- Preparation of PowerPoint presentations.
- Preparation of meeting minutes.
- Support to the Front of House Coordinator as required, for example, reception relief during their breaks or unpredicted leave.
- Occasional opening of the studio on specific pre-arranged days.
- Under the guidance of the Senior Executive member in charge, coordinate the production of bids, submissions, and marketing material.
- Maintain a record of key contact details for our clients and collaborators.
- Organisation of travel requirements for project team members as required.
Skill and Experience:
- 3-5+ years within Executive Assistant role having supported at a senior level
- Previous experience either working for an interior design practice an architecture practice and or construction.
- InDesign experience is essential
- Microsoft Office, Excel, and Outlook experience
- Ability to adapt to frequent changes while coordinating and ensuring timely and effective delivery of services
- Excellent organizational and multi-tasking skills
- Must enjoy a fast-paced environment
- Positive attitude and capability to engage with people
- Develop skills in new areas
- Working with a supportive team
