I am currently recruiting for a permanent, full-time Executive Assistant role for one of Australia and New Zealand’s largest food manufacturing companies.
In this role, you will be providing a high level of support to the Managing Director, People & Performance Director and Finance & Strategy Director, ensuring the smooth and efficient running of diaries, management of meeting agendas, leadership conferences & offsites, as well as the day to day ad hoc support requests required from these Directors.
There are also flexible working hours, and hybrid opportunities available for this position.
Your new role
- Effective diary management through maintaining and co-ordinating appointments in an electronic system
- Provide executive administrative support to the Directors
- Organise/co-ordinate travel/accommodation bookings
- Plan and manage schedules of guests and logistics, and ensure effective use of time
- Manage electronic mail, screen inbound calls, take messages and convey them to the relevant person
- Preparation and design of presentations and other documentation as required
- Organise/co-ordinate meetings, events, and conferences or training as required.
- Provide confidential administration support
- Follow up on any outstanding actions/ requirements
What you'll need to succeed
- Previous Experience working as an Executive Assistant for a Managing Director, General Management level position
- Excellent verbal and written communication skills
- High level planning and prioritisation skills
- Ability to multitask and be flexible
- Demonstrated ability to work directly with senior managers
- Attention to detail
- Advanced level of MS Office suite and ability to master other business systems (SAP, Travel booking systems)
- Proven discretion and confidentiality
- Ability to work in a fast-paced environment
